Okay alot of you have seen us discussing holding a LAN Party to raise money for KN\'s HQ. The date has now been confirmed (providing I come up with the 1000.00 hall deposit by Saturday).
The dates are: June 30, July 1, July 2 2006
at the banquet centre here in Aldergrove http://www.langleybanquetcentre.com/
We already have interest for tickets, we\'re planning on selling 700 tickets. The hall is licensed to hold 750, so I need to leave room for LAN staff, press and sponsors. I am hoping that after the LAN is over, we will end up with at least $20 000.00 Canadian in profits which we can then put towards inventory and such for the HQ, as we are limited on what we can use government loans for.
As for a name for the LAN Party, I am considering \"KillaNet Digital Storm\" with \"Storm the valley\" for a possible slogan.
All ideas and suggestions are welcome at this point in time, need to learn everything about lans in a very short period of time.
I\'ve already contacted Beaver Buzz in regards to being the official beverage for the LAN Party. I hope this tranforms into free beverage supplies as well as some prizes for the weekend. We will also be contacting Alienware as they send freebies for LAN events, and that\'s just the start.
Get the ideas and discussion going; I won\'t be announcing the LAN officially until I\'ve paid the deposit for the hall....just...in...case.....

marketing and advertising won\'t be a problem, a few well placed press releases and we\'ll be on our way. There will be limited adsl access; the attendees\' computers will not have direct internet access.

I attend Valhalla enough to be called a fanatic. I will give up work, eating, sleeping, going to the toilet for it.
Anyway, if you need any ideas for comps or how to set it all up then feel free to ask.
About those profits, I guarantee you you will need at least SOME money to continue to run the LAN. It would be advised to buy security also, they are extremely helpful.

The $20 000.00 profit was allowing for an $8 000.00 expense allowance on the LAN including the hall and security and other stuff.
Radar - Any information you want to provide would be most appreciated and might save me a bit of time in reading other lan sites to see what they do.

My friend Sandra (yes, I have friends who aren\'t geeks) who manages the 7-11 here in town said they would help us sell tickets for the LAN. She also said that they would provide some prize bags full of LAN Party necessities...i.e....JUNK FOOD!
I\'ve also been to the insurance agent to find out about the cost of the liability insurance we are going to need (hopefully it won\'t be thousands of dollars, judging on past experience, I believe it will run somewhere around 2-300 dollars...I hope).
I\'ve also emailed my contact at AutoDesk/Discreet for input/sponsorship and whatever else she might like to bestow upon us for the LAN.

Ok, some information about Valhalla (the LAN I attend in South Aussyland):
My first Valhalla I was all like <img src=\'http://www.killanet.net/forum3/public/s ... /whoah.gif\' class=\'bbc_emoticon\' alt=\'(wow)\' />. Your lanners should get this impression too (it makes them want to come back, duh!)
It usually starts at 3, sometimes 2 or 4, (pm). You rock up and line up carrying as much stuff as humanly possible, plus more. You supply your ticket, they tear a piece off and then you get this coloured wrist band which they put on you and it allows you to enter and exit the building as you please. There is security there (pretty hard to miss them, they're large and they have a big bold word, security, on their back) and there's hardly any need for them.
First of all you find out where exactly your seating reservations are. My "group" usually gets seating reservations every time. This guarantees you that you will sit together in one big blob instead of scattered all over the 500-people LAN. So we sit all in a row and we set up (and by we I mean I, the others aren't that techincally minded, they just USE the things) our computers.
We turn them on, to make sure they work. If they do then we go into the control panel and change our network configuration to automatically gather the IP address from the DHCP server. This is the hardest part of the LAN done. We load up mIRC (they have a IRC server) and use that to talk to people sitting next to us or on the other side of the room.
Announcements over the LAN are usually made via a wireless microphone the "committee" uses. This is broadcast over speaker arrays about as tall as the building itself (20 something feet, two on each side of the gym). They sometimes announce that competitions are going to be held shortly or that someone needs a new power supply because their's went BOOM(!11111!), or something else similar to that.
Valhalla's network, as far as I can tell, has serveral switches all connected together. These switches house about 24 computers each. Each switch is shared between a group of 20 seats or so, and not every seat is always full. This should leave plenty of room on the switch in case you need to plug anything else in. Valhalla's network is generally responsive, ping times can range anywhere from 8-800 depending on how bad you or the person you are connecting is transferring data across the network. Generally it stays below 8ms.
The power supply system is via big, thick cables that run in from outside (don't know what's out there, never go out i guess a generator?), These cables are then split into smaller lines that run to each table. Each table usually has a few powerboards, enough for two powerpoints per computer (one for the computer itself and one for the monitor) and that should be plenty. It is advised to tell the lanners to bring their own powerboards if they feel that it is necessary. Power will be the main problem you will have. It is always that at Valhalla. No power = No LAN.
Food & Drinks. They have one canteen there that seems to have an unlimited supply of food (I don't know how or where they store it), you ask for something, you give them money, they give you it. Simple as that.
Toilet. The opposite end of food and drinks. At Valhalla the guys only have ONE cubicle and that long metal thing where you can stand up and do it if you want. One cubicle between 500 lanners is not a good idea, I suggest having more. Also after about 2AM aim starts to get pretty bad, so I would also suggest a cleaner.
Sponsors. Local computer shops are Valhalla's main sponsors. Australia's #1 ISP (Internode for all those non-Aus or clueless people), also sponsors the LAN. Generally the competitions are for $50 (at least the FPS ones are), but I'm sure you Canadians may be able to afford more. The main comp, the last being the Counter Strike Source 5v5 competition, had a prize pool of $500, $100 going to each member of the winning team, unless that winning team happens to be the admins who worship the CS:S demons, then it goes to the runner up <img src=\'http://www.killanet.net/forum3/public/s ... /smile.gif\' class=\'bbc_emoticon\' alt=\':)\' />.
Pack up. Lanners should pack up after themselves if they have any consideration. They'll pick up their rubbish and put it in the overflowing trash cans at the end of the lan and sometimes even put the tables and chairs away.

Thank you Radar, that helped alot. One of the things we won\'t need to worry about is the washroom facilities. The good ol\' Township of Langley bylaws require \'x\' number of cubicles per \'x\' number of people, and as the hall is licensed to hold 750, then there must be adequate facilities for them.
We may have to up our price to $50.00 depending on food sponsorship. If we end up having to buy stuff to sell, that will put a little dent in the budget I\'m working on, but we\'ll see.

Forum: we should create a category on gaming for the lan; it will have to have guest posting enabled, I guess.
Media: information in regards to obtaining a press pass and also a media package
FAQ Section: for all the stupid questions people are going to ask, and also a page for parents to read in regards to supervision, lan policies (like no alcohol or drugs, no internet access) and other stupid stuff to make them feel at ease.
Sponsors: Info page in regards to what we need, what they get in return, how to contact us.
Advertisers: same as above but they pay us money, they get an ad somewhere, like in player welcome packages, on a shirt if they pay enough, maybe a banner hung from the ceiling
